    JOB DESCRIPTION
    POSITION: Administrative Assistant
    STATUS:
    Part Time Non-Exempt
    Traditional work hours of 10a-2p, M-F, except when needed for special events
    JOB SUMMARY
    The role of the Administrative Assistant is to work with the Executive Director to provide overall administrative support for the Chamber. 
    REPORTING RELATIONSHIP
    This position reports to the Executive Director
    RESPONSIBILITIES
    1. Office Support
    • Greets visitors to the chamber office – provides customer service to walk in traffic.
      • Candidate will be visitors' first impressions of our community
    • Happily answers and fields incoming phone calls.
    • Manages incoming/outgoing mail and all electronic communications.
    • Controls office supplies and inventory.
    • Compiles and assembles information for new member packets
    • Strong proofreading skills
    • Assists with the planning, scheduling, marketing, promoting, executing and staging of all
    special events and activities.
    • Establishes and maintains ongoing effective, positive and helpful communication with members and the community
    1. Bookkeeping Support
    • Manages accounts receivable and payable
    • Bills event sponsors and tracks payments, invoices any attendee who has not paid
    • Prepares and distributes membership renewal and past due invoices on a monthly basis.
    • Works with the Ex. Director to prepare the annual budget.
    • Other duties as assigned.
    EDUCATION/EXPERIENCE
    • High level of competency with Microsoft Office (Excel, Word, PowerPoint).
    • Knowledge of Adobe and Canva or similar design programs
    • Ability to multi-task with strong organizational and time management skills.
    • Strong customer service and written communication skills.
    • Commitment to the Harbor Springs community and the Chamber Mission.
    PHYSICAL DEMANDS
    While performing the duties of this job, the employee is required to sit at a desk and computer for long periods of time, is occasionally required to stand, may be requested to lift materials of up to 35 lbs.  Specific vision abilities required include reading computer screen and written documents.  Communicate via verbal, audible and written means.
    PROBATIONARY PERIOD
    There is a three-month probationary period at which time the Director will evaluate the job performance of the Administrative Assistant.
